Website and CRM integration for Canadian contractors

A website-to-CRM connection should do more than copy a form submission into a contact list. It should preserve where the inquiry came from, what the customer needs, who owns the next step, and whether follow-up is still waiting.

Define the lead record before choosing an integration

Contractor inquiries need operational context. A useful record can include service requested, project location, urgency, preferred contact method, source page, and the customer notes needed for the first reply.

Keep the form proportional to the job. A small repair request should not require a commercial tender package, while a larger project may need drawings or a site visit before anyone discusses scope.

  • Contact details and explicit consent state
  • Service category and project location
  • Source page and campaign fields when available
  • Owner, status, and next follow-up action

Preserve attribution without putting private details in analytics

The CRM should retain the landing page and approved campaign identifiers that explain how the inquiry arrived. That supports channel reporting without sending the customer message, phone number, or project details into advertising analytics.

First-touch fields explain discovery; last-touch fields explain the conversion session. Both should remain attached to the lead, while operational notes stay inside the protected CRM record.

Make ownership and follow-up visible

An integration is incomplete if a record exists but nobody knows who must respond. New inquiries need a clear owner, status, timestamp, and next action so the team can distinguish a new quote request from one already contacted.

Test retries and duplicate submissions before launch. The customer should not disappear because an email provider or webhook was briefly unavailable, and the same retry should not create a second active lead by accident.

Review checklist

  • Form fields match the contractor intake process
  • Consent and campaign source are stored separately
  • Private form values stay out of analytics events
  • Every new lead has an owner and next action
  • Retry and duplicate behaviour is tested before launch
